Job Title: Administrative Assistant/AP Accountant

Department: Administration

Reports To: Chief Financial Officer, with frequent daily interaction with others within the Company

Status: Salary, Full Time

Hours: 8 AM to 5 PM, Monday through Friday

 

SUMMARY The Administrative Assistant/ AP Accountant will be required to perform various accounting and clerical tasks related to the efficient maintenance and processing of accounts payable, labor hours, and other accounting and administrative tasks. This individual will sit in the front office and will need to greet guests, answer phones, and assist employees as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following. Other duties may be assigned as needed.

Administrative:

  • Answer phones/ Transfer calls
  • Greet incoming guests
  • Sort & distribute mail
  • Mail customer invoices & vendor checks
  • Purchase company office supplies
  • Various other administrative duties (ie Employee Birthday Cards, etc)

 

Accounts Payable:

  • Review, reconcile/match, process vendor invoices
  • Process vendor checks
  • Resolve invoice discrepancies
  • Correspond with vendors and respond to inquiries
  • File AP invoices

 

Other:

  • Enter daily production hours
  • Assist with month-end closing process as needed
  • Various data entry within business system

This individual must also maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices. A general understanding of accounting principles is required, as this position will assist with many accounting functions.  This position will report to the Chief Financial Officer, with frequent interaction with others in the Department.

SKILLS This is a fast-paced work environment. Must be a self-starter and have the ability to multi-task, as well as maintain a positive & professional “can-do” attitude. Must possess excellent oral and written communication skills, be thorough, organized, and pay close attention to detail.  Must be proficient in Microsoft Excel.

 

EDUCATION and/or EXPERIENCE Associates Degree in Accounting or related field and/or 1-3 years of related experience preferred
